2020 SINAPSE ASM - Virtual Meeting

12th SINAPSE Annual Scientific Meeting: Information about virtual meeting format

Due to spread of the COVID-19 Coronavirus, the 12th SINAPSE Annual Scientific Meeting is being held as a virtual meeting on 19 June 2020. We look forward to welcoming imaging researchers and trainees across Scotland (and beyond) to participate in the first virtual instalment of what always proves to be an informative and stimulating meeting.

How to register

As the costs of a virtual meeting are lower than those of a conventional in-person meeting (no venue hire fees or catering!), ASM registration this year is free to all.

Rather than registering through a separate website, such as Eventbrite, registration is completed within the Hopin platform.

  • Presenters (oral and/or poster) and exhibitors: You will have received an e-mail with a personal registration link
  • All other delegates: You may click the following link to access our virtual event site: https://hopin.to/events/2020-sinapse-asm
  1. When prompted for the Event Password, enter: imaging
  2. You will be taken to the Registration page, where you can click the blue 'Join event' button.
  3. Register (sign up) with Hopin by entering your name and e-mail address and creating a password.
  4. Create your Profile, which is how you will be visible to other meeting attendees during the event. This serves as a virtual 'conference badge', showing your Location and a Headline self-description (e.g., your position and institutional affiliation), and you may also add social media profile links.
  5. You will be taken to the Reception page, which is where you will return on the day of the event. We encourage you to complete your Profile by uploading a photo of yourself and adding a brief bio. If you do not have a personal webpage, you may wish to enter a link to your SINAPSE member profile (http://www.sinapse.ac.uk/people/Firstname-Surname_###) in the Website Link field.

Technical details: Recommended internet browers for Hopin are Chrome and Firefox (for Windows/Linux) and Safari (for MacOS). If you have trouble creating or completing your profile, please consult this Hopin Support article: https://support.hopin.to/en/articles/3426584-i-m-having-trouble-creating-a-profile

What to expect

This is the first time SINAPSE has organised a virtual meeting, and it might be the first virtual meeting that many of our members will attend. Presenters and exhibitors will be contacted to arrange 'rehearsal' sessions on the Hopin platform ahead of the event date. All delegates may find the following video informative in walking through the attendee experience: Hopin Demo

Stage, Sessions and Expo

  • As an audience member during oral presentations, generally you will be participating in the session as a viewer. In this mode, you will be watching the live video stream but you cannot be seen or heard. Each session has its own chat sidebar which viewers can type in during and after presentations.
    • Plenary Sessions take place in the Stage segment. If you would like to ask a question at the end of one of these presentations then you should type it into the chat sidebar; the Chair will moderate a Q&A session with each speaker from questions entered there.
    • Parallel Sessions take place in the Sessions segment. If you would like to ask a question at the end of one of these presentations - or to interact with presenters during the virtual poster sessions, also in the Sessions segment (or with exhibitors in the Expo area) - then you can click a 'Share Audio and Video' button to join in as a participant, so that you will additionally appear on screen. In this mode, you and the presenter can see and hear one another, and other viewers in the session can see and hear both sides of the discussion. Parallel Session presentations are moderated, so that you must request permission to appear on screen as a participant.

  • Speed Networking between sessions gives you an opportunity to meet and interact with other ASM attendees. You will be randomly matched with someone else when you click the 'Ready' button (and allow your audio and video to be shared). The two of you can then introduce yourselves and strike up a conversation; the pairing will last for at least 30 seconds, after which you can continue a one-on-one discussion for a maximum of 3 minutes. If both people click the 'Connect' button during a Speed Networking conversation, this will prompt an automatic exchange of contact information (a list of connections made, like virtual 'business cards', can be viewed at the end of the meeting within the Hopin account you created by registering for the event).
